Terms of Service
Effective October 11, 2026
These terms are an agreement between Medals Test App (“MTA,” “we,” “us”) and the club, team, school or other organization that uses our software (“your organization” or “you”). By creating an organization, joining one as an administrator or coach, or paying for a plan, you agree to these terms on your organization's behalf and confirm you have the authority to do so. Our Privacy Policy explains how athlete and guardian information is handled and is part of these terms.
The service
Medals Test App is software for running athletic testing: event setup and registration, volunteer and station management, scoring, results reporting and emails, and, on the Annual plan, the Club Athlete Performance Tracker. It supports SkillsQuest-Fitness (SQF) testing and other test batteries. Families who register an athlete, and volunteers who score a station, use the service through your organization; these terms are with your organization, not with them.
Accounts and your organization
- New organizations are reviewed before they go live, and we may decline one.
- Keep your organization's details accurate, and keep sign-in details private. You are responsible for what your administrators, coaches and volunteers do in your organization's account, including how station links and volunteer PINs are shared.
- Tell us promptly at contact@medalstestapp.com if you believe your account has been accessed without permission.
Athlete information and consent
- Your organization's data stays yours. You decide what to collect and how to use it; we host and process it on your behalf as your service provider, as described in the Privacy Policy. You can export your results at any time.
- You are responsible for permission. Families who register through our form agree to a consent statement. When you add athletes yourself, by hand or by file upload, you are responsible for having the parent or guardian's permission (or the athlete's, if 18 or older) to record their information and results and to email them. The same applies to past results you import.
- Collect only what your events need, and follow the laws that apply to your organization, including those on information about minors.
Running safe events
Physical testing carries a risk of injury. Your organization is responsible for its events: supervision, warm-ups, equipment and venue safety, qualified staff, any waivers you require, and deciding whether an athlete is fit to test. MTA provides software only and does not run, supervise or staff events.
Scores and results
Scores are calculated from the results your volunteers enter, using the published scoring tables for each test battery. Their accuracy depends on what is entered; review results before you send them. Scores, rankings and tracker trends are information for coaching and development, not medical, clinical or selection advice. Names of programs and organizations such as SkillsQuest-Fitness and U.S. Ski & Snowboard identify the testing we support and do not mean those organizations endorse MTA, unless a written agreement says so.
Plans, fees and payment
- First event free. Every organization can run one event without paying.
- Per-Event ($349). A one-time purchase that lets your organization create one more event. It does not include the Performance Tracker.
- Annual ($600 a year). Unlimited events and the Performance Tracker for one year. It renews automatically each year and is charged to your payment method on file until you cancel.
- Current prices are on our pricing page. Fees are in U.S. dollars, plus any applicable taxes. Payments are processed by Stripe; we do not store full card numbers.
- We may change prices. A change to the Annual price applies from your next renewal, and we will email you at least 30 days before it.
- Promotional offers, such as the Founding Club discount, apply only as described when offered. The Founding Club discount covers a first year or a single event, not later renewals.
Cancellation and refunds
- Cancel anytime. An administrator can cancel the Annual subscription from your organization's Billing page (Manage subscription), or by emailing contact@medalstestapp.com. Cancelling stops the next renewal; your organization keeps Annual access until the end of the year already paid for.
- 30-day refund on Annual. If you cancel within 30 days of an Annual charge, whether your first payment or a renewal, email contact@medalstestapp.com within those 30 days and we will refund that charge in full. After 30 days, fees for the current year are not refunded.
- Per-Event refunds. A Per-Event purchase is refundable on request until it has been used to create an event. Once used, it is not refundable.
- Refunds go back to the original payment method.
Regional and national agreements
If your organization becomes covered by an agreement between Medals Test App and a regional or national governing body (a “Partner Agreement”), your current paid subscription remains in effect, unchanged, until the end of its current term. We will not charge you for services the Partner Agreement covers. At the end of your term, your subscription will not renew for those services; access to them continues under the Partner Agreement. Any services the Partner Agreement does not cover may continue at the rate it sets, and we will email you at least 30 days before your renewal date with that rate and how to continue or cancel. Fees already paid are not refunded because a Partner Agreement begins, except that a Per-Event purchase not yet used will be refunded or credited, at your choice.
Acceptable use
Don't use Medals Test App to:
- collect information about people without the permission described above;
- try to reach another organization's data, get around access controls, or probe, overload or disrupt the service;
- send unwanted or unrelated email through the results or messaging features;
- copy, resell or build a competing product from the software; or
- break any law.
Our software
MTA owns the software, its design and its scoring and reporting tools. These terms give your organization the right to use it while your account is active; they don't transfer ownership. If you send us suggestions, we may use them without obligation to you.
Availability and changes to the service
We work to keep the service available and your data safe, but we can't promise it will be uninterrupted or error-free, including on event days. We may change or improve features over time. If we remove a feature that is a main part of a paid plan during a term you have paid for, you may cancel and receive a refund for the unused part of that term.
Suspension and ending your account
- We may suspend or close an organization that seriously or repeatedly breaks these terms, or to protect athletes, other organizations or the service. Where we reasonably can, we'll tell you first and give you a chance to fix the problem.
- You can close your organization at any time by emailing contact@medalstestapp.com. Before closing, you can export your results. Deletion of your organization's data follows the Privacy Policy.
Disclaimers and limits on liability
Except as these terms say otherwise, the service is provided “as is” and “as available,” without warranties of any kind, to the extent the law allows.
To the extent the law allows, MTA is not liable for indirect, incidental, special or consequential damages, or for lost profits, revenue or data, and our total liability for any claim relating to the service is limited to the fees your organization paid us in the 12 months before the claim arose. Nothing in these terms limits liability that cannot be limited by law.
Your organization will be responsible for, and will defend MTA against, claims arising from your events, including injuries during testing, or from information you collected without the permission described above.
Governing law
These terms are governed by the laws of the State of Oregon, without regard to its conflict-of-law rules. Any dispute will be heard in the state or federal courts located in Oregon, and both parties agree to those courts' jurisdiction.
Changes to these terms
We may update these terms. For a change that materially affects your rights or fees, we'll email your organization's administrators at least 30 days before it takes effect and update the effective date above. Continuing to use the service after that means your organization accepts the updated terms; if you don't, you may cancel as described above.
